An experience letter, also called an experience certificate or service certificate, is a document issued by an employer certifying the designation an employee held, the exact period of employment, and the responsibilities carried during that time. It is normally issued along with the relieving letter at the end of employment.
Its purpose is evidentiary. Where a resume claims three years as a test engineer, the experience letter is what proves it during background verification, visa processing or a professional registration.
What an experience letter must contain
Indian employers vary the wording but not the substance. Every usable certificate carries these elements:
- Issuing company details — registered name and address, on letterhead.
- “To whomsoever it may concern” — the standard addressing convention, because the recipient is unknown at the time of issue.
- Employee name and identification — full name as it appears in company records, plus employee ID.
- Designation and department — the last held title, or the titles held if the letter covers a progression.
- Exact employment period — both dates, stated in full. This is the element verification agencies check most closely.
- Responsibilities — three to five factual lines describing the work performed.
- Conduct remark — a brief statement on conduct during the tenure.
- Authorised signature — name, designation and signature.
What it should not contain is opinion about performance ratings, reasons for leaving, or salary. Employers who add those create a document employees are reluctant to circulate, which defeats the point of issuing it.

The certificate states the period in full rather than rounding to “about four years”. Rounded tenures are a common cause of verification queries, because the agency compares the letter against payroll records that carry exact dates.

Using it afterwards
Once you have the certificate, the responsibilities listed on it are the raw material for your resume, but they should not be copied across as written. What is the difference between an experience letter and a relieving letter?

Should salary be mentioned in an experience letter?
No. Compensation is confidential and is not part of what the certificate exists to prove. If a new employer or a visa process requires salary evidence, the correct documents are salary slips, Form 16 or a separate salary certificate.
Can I get an experience letter while still employed?
Yes. Employers commonly issue a service certificate on request during employment, stating that you are currently employed, your designation and your date of joining, without an end date. This is what banks and visa offices usually ask for.
What if my employer will not issue an experience letter?
Make the request in writing to HR first. If it is not answered, alternatives that carry weight include your offer letter with salary slips covering the period, Form 16 for the relevant financial years, and EPF passbook entries showing contributions from that employer.
How many responsibilities should be listed?
